Getting started
We've just been set up. Where do we start?
With Your first 30 minutes, then the full Set up your institution.
What order should we set things up in?
Structure → academic session → bell schedule and subjects → teachers with teaching assignments → students → parents → timetable. The reasons are on First-time setup.
Does the Setup Checklist track our progress?
No. It is a page of links in the right order. Use the Onboarding checklist to record progress.
Can we change our institution code?
No. It is permanent. Everything else about the institution's name and look can be changed.
Our year doesn't run June to March.
Onboarding always creates a June–March session. Correct the dates in Institution Setup → Academic Sessions before adding subjects. See Academic sessions.
Accounts and signing in
How do people get their password?
They don't receive one. Each new person gets an invitation link (shown once on screen, and emailed). They open it and choose their own password of at least 12 characters. See First login.
The sign-in page says "Your temporary password came from the office." Is that right?
No — that text is out of date. New accounts use invitation links, not temporary passwords.
An invitation link expired or got lost.
Links last 72 hours and work once. The institution app has no resend button yet. See Login problems.
Can one person have two roles, or work at two institutions?
Yes. After signing in they pick Where are you today?, and can switch from the account menu.
Can students sign in?
Not in a useful way yet. The app has no step that connects a sign-in to a student record, so a student account shows an empty profile and progress. See Student portal.
Can a parent without an email get access?
Not yet. Give access needs an email address.
Roles and access
A new teacher signed in and sees nothing.
Check that a session is current, that the teacher has teaching assignments in it, and that their access covers those classes' campus. See Permission problems.
What does "built-in" mean next to a role?
A shared placeholder role with no permissions. Don't give it to anyone; use your institution's own roles.
We created a role, ticked permissions, but lists are empty.
New roles can only see their own records, and the app can't widen that yet. See Custom roles.
Why can't teachers send announcements?
By default teachers can only draft. An administrator sends or schedules them.
Why can't a teacher publish exam results or move an exam to marks entry?
Those steps are for administrators by default. Teachers enter marks once an administrator has started marks entry.
We bought Fees after onboarding, but parents can't see invoices.
Adding a module doesn't update existing roles. Tick the module's permissions on the Parent / Guardian (and other) roles.
Students and parents
What's the difference between adding a student and enrolling them?
Adding creates the student's record. Enrolling places them in a division for the current session. Registers, timetables and class lists only include enrolled students.
Can we delete a student?
No. You can withdraw their placement. See Placement and promotion.
How do we move everyone up a year?
See Year-end promotion. Promote students individually for now — bulk promotion currently fails at the final step.
Two siblings — do we add the parent twice?
No. Add the guardian once and link both children. Note that approving an admission creates a new guardian each time, so check for duplicates afterwards.
Daily operations
Can parents pay fees online?
No. Payments are recorded by the office. Payment methods (Cash, UPI and so on) are labels only.
How do we enter holidays?
There is no screen for this yet. Contact SOL before the first holiday. See Attendance.
Do face-recognition devices mark attendance automatically?
Arrivals from registered devices are recorded and turned into daily attendance. Devices are registered by SOL; people are mapped to devices from Attendance → Devices. See Attendance.
Can we attach files to study material?
Not from the app yet — posts are text only.
Modules and features
Do you have transport, library, hostel, canteen, payroll or recruitment?
No. These are not part of the product today.
What does "Subscribed, not built yet" on the dashboard mean?
Your institution has a module switched on that has no screens in the app yet.
