Glossary

Words used in SolAssists and in this manual. Some labels change with the kind of institution — those are noted.

TermMeaning
Academic sessionA school year, for example "2026-27". Exactly one is current. Subjects, teaching assignments, enrolments, timetables, fees and exams belong to a session. Also called academic year.
AccessPermission for one person to use one institution with one role, over part of it. A person may have several. Status: Active, Suspended or Revoked.
Admission applicationA prospective student's application. Stages: submitted, under review, approved / waitlisted / rejected / withdrawn, enrolled.
AnnouncementA message to the institution, a unit or a role. Draft, scheduled, sent or cancelled.
Audit trailThe record of changes: who did what, and what it was before.
Bell scheduleThe periods and breaks of a school day.
Branch / CampusA physical location of the institution. Online institutes may call it Centre.
Built-in roleA shared role (Student, Parent / Guardian, Teacher, Management) with no permissions. Not for use.
CodeA short permanent identifier (capital letters, digits, underscores; starts with a letter), used in imports and reports.
ConcessionA percentage or amount discount on fees, which needs approval.
Current sessionThe academic session the app uses by default. Teachers' classes are worked out from it.
Data scope / reachHow far a permission reaches: whole organization, a branch, assigned classes, linked children, or self.
DivisionThe class a student sits in, such as "8-A". Called Section, Batch, Cohort or Group in other institution types. The bottom level of the structure.
Enrolment / PlacementA student's place in a division for one session.
Entitlement / Module subscriptionA module SOL has switched on for your institution.
Exam paperOne subject's paper in an exam, for one division, with maximum and pass marks.
Fee headA named charge, such as Tuition.
Fee structureThe fee heads and amounts that apply to part of the institution, with a frequency (annual, term, monthly, one-time).
GuardianA parent or other adult responsible for a student. Can be linked to several children.
InstitutionThe school, college or centre. Usually the same as your organization.
Institution typeSchool, college, coaching centre and so on. Changes labels only.
Invitation linkA one-time link, valid for 72 hours, that lets a new person choose a password.
InvoiceA bill to a student. Due, partially paid, paid, waived, overdue or cancelled.
Leave typeA kind of staff leave, such as Casual Leave, with an annual quota.
LectureOne class on a date. Changes from the weekly timetable (cancelled, substituted, extra) are recorded as lectures.
Level / Level ladderThe names of each depth of your structure, for example Zone → Branch → Standard → Division.
Linked childrenThe students connected to a guardian. A parent sees only these.
ModuleA part of the product that SOL switches on, such as Fees or Examinations.
OrganizationYour institution (or group of institutions) as a SolAssists customer.
PeriodOne slot in the bell schedule.
PermissionSomething a role may do, shown as a module and an action, such as Attendance — MARK.
Platform AdminSOL staff who use the SolAssists Console.
PromotionMoving a student into a division in the next session.
RoleA named set of permissions, such as School Admin or Teacher.
RoomA classroom, laboratory, hall or ground used in the timetable.
Scope (of access)The part of the institution an access covers: Institution-wide, or a unit and everything under it.
SolAssistsThe institution app.
SolAssists ConsoleThe SOL staff app for onboarding and managing institutions.
StandardA year level, such as "Grade 8". Called Programme, Course or Trade in other institution types.
Student groupStudents from one or more divisions who sit a subject together, such as an elective.
Study materialHomework, classwork, notes or question papers posted for a class. Draft, published or archived.
SubjectA subject taught in the current session, such as Mathematics.
Teaching assignmentWhich teacher teaches which subject in which division, for a session. Decides what a teacher can see.
TimetableThe weekly grid of lectures for a division.
TransferMoving a student to a different division in the same session.
UnitAny place in your structure: a zone, branch, standard, division or custom level.
Weekly offA day of the week with no school (Sunday by default).
Working scopeThe unit you have chosen to work in, from the picker in the top bar. A filter, not extra access.
ZoneA group of branches. Institutions without zones don't need this level.
